Being a "rent from
owner" has its own
challenges. You have the
expense of advertising
your High Country home.
Often, you have to
struggle to find the
time to properly
represent your rental
due to having a full
time job or just being
extremely busy. If you
do have a successful
website, during the busy
season your phone rings
all the time and there
are all those emails to
answer as well. When
your High Country home
is rented, you're always
on call for any problems
that can come up with a
rental unit (ex: clogged
toilets, electrical
problems, appliances not
working, etc).
Preparing the required
sales tax reports,
occupancy tax reports
and rental contracts are
time consuming. In
addition, collecting the
rents and security
deposits, and operating
a trust account can be
difficult. Vacation
Rental Agreements and
N.C. Trust accounts are
required for the
"rent-from-owner"
landlord, as well as a
rental agent, under the
NC Vacation Rental Act
of January 2000.
Our management fee,
which is based on a
percentage of the rental
income, provides you
with a number of
benefits and services.
Some, but not all, of
these benefits are
listed below:
- We have a full time
supervisor of housing.
Ann Stout is the person
who is responsible for
the care of our units as
well as our laundry. She
schedules maintenance
for the homes when
needed, house watch
service after tenants
departure, housekeeping
after tenant departures,
hot tub service by our
certified technician
after tenant departures
and interim service in
between tenant stays,
inspections after house
cleanings etc. Ann also
works to keep up with
education regarding the
care of the units. She
is a member of the VRHP
(Vacation Rental
Housekeeping
Professionals), and she
attended their seminar
in 2008. Ann is always
available to our owners
to discuss their rental
homes, as well as any
tenant with a concern or
request. She assists in
the office when needed
taking reservations as
well as working closely
with the broker in
charge for setting
company policies.
- We have a full time
office staff to handle
bookings and
reservations. Brandy
Coleman is a broker as
well as head reservationist. She has
a staff of part time
reservationists who are
valued employees that
assist her. Although
Brandy is a broker, her
interest is in pursuing
a career in property
management, not sales.
- Ann Stout has a
"quality control"
inspector who performs a
house watch service
after a rental departs
to be sure that all
windows and doors are
locked, heat is set
properly, and there is
no damage. He also
inspects after the
housekeepers have
finished to be sure the
home is cleaned to our
high standards. If some
time has elapsed since
the cleaning inspection,
he will inspect your
home before the next
rental to "spruce it
up."
- Basic cleaning after
rentals is included in
our fee. We are
experienced when it
comes to cleaning and
caring for your home.
Garbage removal is also
included when not
otherwise provided.
- We have added to our
rental fee a $45.00
nonrefundable security
deposit waiver
protection plan that
will cover accidental
damage up to $1500.00 to
your home. We have used
this Travel Guard plan
for over two years and
feel that we can take
care of your property
better with the
protection plan than by
charging a security
deposit.
- We take MasterCard,
Visa and Discover to
facilitate last minute
bookings. We feel that
by offering credit card
payments we receive more
reservations instead of
requiring checks. The
merchant fees are paid
for by A and W Mountain
Rentals.
- For the homeowners who
sign up with us, we
offer a monthly house
watch service if your
home has not been rented
during the month, for a
small fee.
- A and W Mountain
Rentals also provides
most of the supplies
needed for your rental
unit as part of our fee
(hand soap, bath soap,
and dishwasher soap), a
starter set consisting
of 1 roll of paper
towels, 1 roll of toilet
paper per toilet, and
kitchen garbage bags,
etc.
- Ann, our supervisor,
will handle the number
of problems that may
come up. Example: if the
toilet malfunctions, she
will call a repair
person to fix it. (We do
not pay for maintenance
charges, however.)
- We will change the
batteries twice a year
in your smoke detectors
and have fire
extinguishers certified
according to code. (You
pay for the supplies and
a small maintenance
fee.)
- You will receive a
monthly accounting of
your rental account.
- You are always welcome
to call or drop by our
office to discuss your
property. While at our
office please feel free
to check out our free
DVDs and Videos (our
video library is only
for our owners and
tenants). Our
housekeeping staff will
return them for you.
- Brandy, a notary
public, will be happy to
perform notary services
for our owners. Our
owners are also welcome
to use our fax machine
if you should need to
receive or send a fax
while you are here.
We have a website that
has a large web
presence. We pay for
Internet advertising as
well as many other types
of advertising. We
receive many compliments
on how complete and easy
to use our website is.
Some of the features
currently are:- Each property has its
own individual page with
descriptions, amenities,
and can have up to 16
separate photos. As we
input and edit our own
information, we can add
your property promptly
to our website after you
sign with our company.
- Both our Homeowners
and Tenants love having
an availability calendar
on each property. The
Tenants and Owners can
check for availability.
Tenants often call and
say "I want to book Unit
#____ and I checked the
calendar and it is
showing available."
Owners enjoy using the
calendar to check and
see if they have future
bookings and to see if
their property is
available when they want
to visit.
- Homeowners can log
into the "OwnersNet"
located on the main page
so that they can see
prior as well as future
bookings on their homes.
- New Owners are
strongly encouraged to
have a Visual Tour added
to your property for a
small fee. This tour is
really beneficial in
obtaining bookings,
because the Tenant feels
as though they have just
walked through your
home.
- We have a "Search by
Amenities" feature that
is helpful.
- Our "Things to Do"
page is one of the most
complete collections of
activities in the local
area.
- We have a "Specials"
page that offers guests
an added incentive to
book with us.
- We have On-Line
Booking available on our
web site. Since we feel
that it is to the
Owner's benefit if we
speak directly with the
potential Tenants when
we are taking
reservations for your
home, we will call the
tenant promptly the next
day after they make an
on-line reservation. Of
course, we will continue
to book reservations
during the day when
Prospective Tenants
call. We try to answer
our calls and emails
promptly.
We have always felt that
our company provided the
advertising and website
exposure needed to
properly promote our
rental units. WE BELIEVE
IN KEEPING UP WITH
TECHNOLOGY, SO AFTER
MEETING WITH OUR
WEBMASTER AT APPNET, we
made the decision to
give our website a brand
new facelift.- We have changed the
format from ASP to PHP.
This change has given us
more control over our
website, as well as
allowed us to streamline
our website by adding a
wider screen, colored
borders and cleaner
lines.
- We have an article
section on the main page
as well as a link to a
calendar of events over
which we have control so
that we can share
current events, area
happenings, and the
weather - i.e. when it
snows etc. We love
having complete control
of this.
- The visual tours are
all set up on a page
together, so that a
Prospective Tenant can
conveniently look at any
Tours that interests
them. From that page,
they can click over to
any individual Rental
Unit page for more
information about the
home, the calendar
showing availability of
the unit, prices and
still pictures.
- The real draw though
is that all of the new
pages and the new PHP
format that has given
our website that already
had a very good exposure
on Yahoo and Google a
great boost in the
ratings.
Our office and company
signs are highly visible
to all those going up to
Beech Mountain. We feel
very fortunate to be in
the Sunrise Shopping
Center at the base of
Beech Mountain close to
Zuzda Tapas Restaurant.
